We are seeking a skilled Administrative Assistant to join our Real Estate Brokerage. The ideal candidate will be responsible for providing administrative support to the real estate agents and management team, ensuring smooth office operations and assisting in the management of client transactions. The Administrative Assistant will be expected to work independently and collaboratively with other team members to deliver efficient and effective support.

Responsibilities:

  • Provide administrative support to real estate agents and management team, including answering phone calls and emails, scheduling appointments, and managing correspondence.
  • Assist in the preparation of documents, such as contracts, leases, and other legal agreements.
  • Maintain accurate and up-to-date client and property files, ensuring confidentiality and security.
  • Coordinate with vendors and service providers, such as appraisers, inspectors, and contractors.
  • Conduct research and gather data to assist with market analysis and property valuation.
  • Perform general office duties, such as filing, data entry, and ordering office supplies.
  • Support the management team in coordinating and executing office events and activities.
  • Manage the brokerage’s social media accounts, including posting updates and responding to comments and messages.

Requirements:

  • High school diploma or equivalent, associate or bachelor’s degree in business or a related field is a plus.
  • 2+ years of experience in an administrative support role, preferably in real estate or a related field.
  • Proficiency in Microsoft Office Suite and other office management software, including CRMs and database management.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with clients, vendors, and colleagues.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and projects simultaneously.
  • A high level of professionalism and discretion, with the ability to maintain confidential information and handle sensitive situations.
  • Ability to work independently and collaboratively as part of a team.
  • Positive attitude and willingness to learn and take on new responsibilities.
  • Familiarity with social media platforms and ability to manage social media accounts is a plus.
